About the Online RACE Program Application
The online RACE Program Application is designed to provide you with a quick and easy way to provide AAVSB RACE with all of the information and materials required for review of your program. The online application allows you to:
Submit all program details via the online form
Upload supporting documentation
Pay using a credit card (Visa, MasterCard or American Express)
Save time and money - no need to mail multiple copies
Please note: AAVSB does request that you mail ONE copy of all supporting documentation. We request these materials to ensure that all documents uploaded successfully as occasionally unforeseen technical problems may prevent documents of a certain size or type to be submitted online. Additionally, AAVSB maintains paper files for all providers, per the RACE Standards Records Retention Policy. Your application will not be considered complete until the program materials have been mailed to AAVSB RACE.
Page 1: Program Information
HINT: When selecting your Provider name from the drop-down menu, type the first letter of your Provider name to jump to that section of the alphabetical list.
FAQ: My Provider name is not displayed in the drop-down menu. What happened?
Answer: Your Provider status may have expired, or there may be other issues preventing the name from being displayed. Please contact RACE to determine next steps.
FAQ: What is the difference between "number of total contact hours available" and "maximum number of contact hours of CE for any ONE [individual]"?
Answer: In some circumstances, a program may offer more contact hours than any one individual may complete in a given period, such as conferences that have multiple tracks. Such a conference may have 45 hours available from which an individual may choose 8 hours of programming, for instance. In that case, the "number of total contact hours available" would be 45, and the "maximum number of contact hours of CE for any ONE veterinarian" would be 8. FAQ: What is the "Promotional" category?
Answer: The Promotional Subject Category is assigned to programs which are intended to endorse specific commercial drugs, products or services. Please refer to the related RACE Standard for additional details about the Promotional category.
Pages 2 and 3:Program Locations
HINT for self-study or non-interactive online programs that will span the entire two-year approval period: When entering the number of dates and locations, leave the number at 1. Then, when entering the dates and locations, enter the Method of Delivery (e.g. Online or the website address) in the City field and then -- (dash, dash) in the State field. Enter the program launch date as the Start Date and two years from that date as the End Date.
HINT for webinars or teleconferences: When entering the dates and locations for webinar or teleconference programs, enter the Method of Delivery (e.g. "Webinar") in the City field, and then -- (dash, dash) in the State field. Enter the start and end dates for each offering.
Pages 4 and 5: Program Presenters
FAQ: What information should be entered in the presenter Suffix field?
Answer: Please enter the presenter's degree(s) and board certification(s), e.g. DVM, DACVIM, PhD.
HINT: If yours is a large program (10 or more presenters), leave the number of presenters at 1. On the next page, in the First Name field, enter "see file," and in the Last Name field, enter "for speaker list."
Page 8: Document Upload
HINT: Save clicks and upload time! If you have all of your materials bundled into one document (e.g. into a PDF or single Word document) you may submit the entire packet under "Program Agenda." Please be sure that all required elements are included in the bundle - agenda, presenter bios, sample certificate and evaluation forms, etc.
HINT: No need to double-do! If your objective statement and agenda are included on the same form, you do not need to upload that same form twice. Simply submit it under "Program Agenda." This is true for other documents as well (e.g. if your draft advertisement serves as your program agenda).
TIP: If your upload takes too long or does not succeed for some reason, simply click "I will mail my documentation" at the bottom of the page. We will take care of uploading the documents once the hard copy materials have been mailed to AAVSB RACE.
Other Frequently Asked Questions:
Q: May I submit a Program Application for a program that has already occurred?
A. No. Programs cannot be retroactively reviewed or approved after-the-fact. It is preferable that you submit an application at least 45 days in advance of the first course offering to ensure that the review process can be completed and any potential issues addressed before the program begins. This also ensures that your participants can attain their certificates of attendance in a timely fashion.
Q: Does paying the late fee mean that my review will be expedited?
A: No. The late fee is for applications received 45 days or fewer in advance of the first course offering. The review process always takes at least 3-4 weeks; we do not have a way to expedite the review process
Q: How long does the review process take?
A: The review process typically takes 3-4 weeks. The RACE Provider contact of record will be contacted via email once the review has been completed.
Q: Can I start an application online, save it, and come back to it?
A: Not at this time. You must complete the application all at one time so please be prepared before you begin the process.
