The AAVSB is in search of a Full-Time Program Associate (VAULT). This administrative position will be responsible for the review and processing of applications and maintaining the accuracy and data integrity of information stored in the organization's database.  Day-to-day responsibilities include, but are not limited to application processing, database management, project participation and administrative assistance. Work includes extensive contact with veterinarians and veterinary technicians utilizing VAULT services and participating in the Veterinary Care Elite program, Member Boards, and other related agencies to ensure accurate and timely exchange of examination, licensure, and disciplinary information from AAVSB’s VIVA database.  Serves as a member of the VAULT team.

 

Compensation: $40,000 - $44,000

Responsibilities

  • Receive, review, and enter data into a database according to established and written procedures. 

  • Assist with communications to licensees, Member Boards, and vendors. 

  • Consistently gather, input, and verify information in the VIVA database to assist regulatory boards in determining elgibility for licensure. 

  • As a member of the VAULT team, receive and promptly answer incoming emails and telephone calls regarding the VAULT transfers, Veterinary Care Elite program, VIVA database and, when required, other programs.

  • As a member of the VAULT team, make online payments and/or request individual payments for license verifications and transcript requests.

  • Collaborate with team members across the organization to gather and track data for department and organization improvements. 

  • Maintain a high standard of excellence in customer service to the AAVSB’s clients which include veterinarians, veterinary technicians, and Member Boards as well as other stakeholders.

  • Produce routine correspondence and assist with the creation or editing of bulk communications.

  • Coordinate workflow with team members.

  • Support staff and management in assigned project-based work.

  • Maintain desk manuals and processes guides as necessary. 

  • Perform duties as required based on the needs of the AAVSB and/or as assigned.

Qualifications

Skills:

  • Computer skills to include Microsoft Office Suite Applications and working with databases.

  • Exercise keen attention to detail to verify data point matches and manually process queued applications and database records.

  • Excellent customer service, organizational, written and oral communications skills.

  • Identify and assist with improvements in programs and functions while being flexible during times/processes of growth and change. 

  • Work effectively and efficiently both independently and collaboratively as part of the AAVSB team from a remote location or office setting, committed to DEI in the workplace.

  • Flexibility and adaptability for a position where the surrounding activities and environment can change frequently.

  • Willingly work as a dedicated team member to add value to team projects and discussions. 

  • Maintain a calm and positive attitude.

  • Maintain confidential information with professionalism and discretion.

 

Education and Experience:

  • Required Associate degree and three years of relevant office and customer service experience.

  • Preferred:  Bachelor’s degree or a minimum of three years’ relevant experience in an education setting or nonprofit association.

  • Must be committed to ongoing professional development. Occasional travel and weekend work might be necessary to fulfill the position’s responsibilities.

 

Details:

The AAVSB is headquartered in Overland Park, Kansas. This position may be virtual/remote with the understanding that there will be required company-paid travel to Overland Park, Kansas, and other locations throughout the year.
